74 PART III Rollout of an HCM
difficult to locate and display? Show them how an HCM system handles data
from different
sources and in different formats. When users become convinced
(and they will be!), this department is your starting point for the institution
wide implementation of an HCM system. That means you can kill two
birds with one stone:
✔✔You solve problems by using the HCM system and create satisfaction
among the users of the department.
✔✔The employees of this department will share their experiences of the HCM
system with colleagues from other departments and positively influence
them.
It always comes down to money
Yes, the introduction of an HCM system will cost money. And this has to be
discussed. In the end, an IT system must not only work well, but also pay off. As
with every IT project, personnel costs for the implementation of the HCM system
must be factored into the acquisition cost of the software. Typically, however,
such costs arise as well when an existing IT system is to be replaced. Now fortune
might be in your favor and the system to be replaced is one whose functionality
could also be provided by an HCM system; for example, a DMS. This might be an
excellent opportunity to talk about the introduction of the HCM system. If one
considers the process optimizations that are possible by using an HCM system,
the arguments in favor of realistic cost recovery are obvious. This convinces those
involved to take the next logical step to centrally manage and display other data
in addition to documents.
The provision of all information belonging to a case within one
system
can save money. If the medical review board of a national
health
insurance company (NHI) checks a case for the validity of
the services provided, all relevant documents can be made available
at the push of a button. In case of paper-based patient files, this
often
only succeeds partially, so in the worst case the invoice is not
fully reimbursed.
And this is where the potential of an HCM system
comes in: in-hospital medical management accounting gains quick
and comprehensive access to patient case data. The more digital
data is available in the HCM system, the faster and more comprehensively
it can be presented to an examiner of the medical review
board of the NHI. As a result, invoices will be paid in full more
frequently.
The hospital therefore receives more money for services
performed.
